The Facilities Assistant is responsible for performing a wide range of day-to-day facilities operations in order for the Company to facilitate the efficient operation of the organization. This individual will maintain the overall appearance of the physical space, organization of facilities supply areas, daily management and stocking of the breakroom and office supply areas and responding to a variety of ad-hoc facilities and operations requests.  Flexibility and excellent organizational skills are a must. The Facilities Assistant shall adhere to the Company's quality system including but not limited to the applicable standards, policies and procedures in the areas of responsibility defined in this job description.


Principal Duties and Responsibilities:

  1. Perform duties on site, on time, and within the normal business hours. Typical hours for this position are 7:00 a.m. 4:00 p.m. Monday Friday. Facilitate frequent interactions with co-workers and provide timely support to address critical and emerging work Present a positive attitude to create and maintain productive working relationships with fellow employees, customers, vendors, and all individuals encountered.
  2. Maintain an organized inventory system and warehouse for facility, manufacturing, and laboratory parts and supplies.
  3. Assist in escorting and monitoring maintenance contractors and vendors while they perform work at the Novan facility.
  4. Pro-actively walk around the facility each day to identify opportunities for improvements, repair, and organization.
  5. Ensure orderliness and cleanliness of common areas including breakroom, conference rooms, coffee stations, printer stations, and restrooms.
  6. Order, organize, inventory and restock supplies and consumables in their respective common spaces: office supplies, printer paper, snacks, drinks, paper goods, utensils, bathroom supplies, etc.
  7. Lead the set-up and clean-up activities for daily breakfast, lunch meetings, and special events.
  8. Assist with office moves and the preparation of workstations for new employees - including cleaning and stocking office supplies for the new employee.
  9. May create and/or maintain documents and checklists.
  10. Provide general assistance to Facilities and Administrative staff.
  11. Perform other duties as assigned.


Minimum Qualifications:

  1. Education
    • High school diploma/GED required. Associates or Bachelor's degree or equivalent preferred.
  2. Experience:
    • Typically three to five years of experience in general facilities/ office responsibilities and procedures in a professional office environment.
  3. Skills:
    • Inventory management experience desired
    • Strong organizational skills and attention to detail
    • Ability to work independently and act on own initiative
    • Ability to communicate and interact successfully with all levels of the organization
    • Honest, flexible, dependable, self-motivated team player with a strong work ethic, with the ability to effectively multitask in an interrupt-driven environment.
    • Proficiency in MS Office (eg, Excel, Word, Outlook, and PowerPoint) in a MS Windows 7 environment, organization, planning, and time management.
  4. Valid driver's license & personal vehicle required.

In the typical office environment requirements include: reading, speaking, hearing, close vision, walking, bending, sitting, use hands and fingers (i.e. typing). Must be able to regularly lift 25 lbs. unassisted and occasionally up to 50 lbs. assisted by equipment or other employees. There will be an occasional requirement to work outside of normal business hours.
