Position Overview

The front desk administrative assistant owns the all-important responsibility of managing first impressions for all who interact with the company. They are the first person that visitors meet by phone or in person; the person to establish the ever-lasting first impression of Novan; and, the person visitors will remember when they leave. Generally available Monday to Friday 7:45 am to 5:00 pm, the front desk administrative assistant is for company employees the one-stop-shop for support scheduling meetings, booking travel, maintaining office supplies, composing and proofing correspondence and the list goes on and on. A positive and welcoming attitude, drive for helping others and superior organization skills are key attributes for success in this role.


Performance Objectives

  1. Own the first-impression: Function as the go-to coordinator of professional front desk and office operations. Greet, screen and check in incoming visitors, answer multi-line telephone system, direct calls and visitors to appropriate person or business area and maintain a presentable and functional appearance for the lobby, conference rooms and other public areas of the office.


  1. Administrative Support: Assist with office administrative tasks as assigned, including managing the Company's office calendar, oversight and scheduling of conference rooms and meetings, assisting with corporate travel arrangements, and composing, proofreading or imaging correspondence.


  1. Assist with Facilities and IT Teams: Collaborate and assist the facilities and information technology  teams to ensure efficient office operation through minor office equipement service duties, assisting with security system operations and ordering of office and break room supplies.



While demonstrating a sense of hospitality at all times is a must-have, having a two-year associates degree and two to five years of experience in general office responsibilities and procedures would set the stage for candidate success.

In the typical office environment requirements include:  reading, speaking, hearing, close vision, walking, bending, sitting, use hands and fingers (i.e. typing) and occasional lifting up to 20 pounds.  There will be an occasional requirement to work outside of normal business hours.
